The following policies are in place to protect both my clients and my business, while ensuring every booking runs smoothly. By paying your booking fee or deposit, you confirm that you have read, understood and accepted these Terms & Conditions.
1. Booking, Availability, Travel & Communication
At Mehendi Ki Mehak, every booking is carefully planned to ensure each client receives the highest standard of service and attention. To maintain an organised and efficient booking process, the following policies apply to all appointments.
1.1 Making an Enquiry
All booking enquiries must be made via Instagram Direct Messages or through my official website. Bookings are accepted strictly on a first-come, first-served basis, and dates cannot be reserved or held without the required deposit.
If you choose to send your deposit after receiving your booking information, please contact me beforehand to confirm that your requested date and time are still available. Sending a deposit without prior confirmation does not guarantee availability if the date has since been booked by another client.
1.2 Communication After Booking
Once your booking has been confirmed, all further communication will take place via WhatsApp. This is a mandatory part of my booking process and is in place to ensure every client receives the highest standard of service. As I receive a high volume of enquiries across multiple platforms, Instagram messages can occasionally become buried, delayed or disappear entirely.
Using WhatsApp allows me to:
- Keep your booking organised and easily accessible.
- Store important booking information securely.
- Share appointment details, preparation advice and aftercare instructions.
- Contact you quickly should any important updates arise.
- Ensure nothing relating to your booking is overlooked.
Clients are responsible for providing a valid WhatsApp number and remaining contactable throughout the booking process. Failure to respond to important messages or provide the required contact details may affect my ability to fulfil your booking.
Please note that communication regarding confirmed bookings will not continue via Instagram Direct Messages unless absolutely necessary.
If you have any questions regarding your booking or these Terms & Conditions, I encourage you to ask before confirming your appointment. Clear communication helps ensure a smooth, professional and enjoyable experience for both you and myself.
1.3 Travel
Travel charges apply to all mobile bookings and are calculated based on the client’s postcode. The applicable travel fee will be confirmed before your booking is finalised. For safety, insurance and professional reasons, I do not accept lifts from clients or members of their family. Clients booking a mobile appointment are responsible for covering the agreed travel charges or, where appropriate, arranging their appointment at my home studio instead.
Where suitable, clients are also welcome to book their appointment at my home studio as an alternative to a mobile service.
2. Deposit, Payment & Pricing
To secure your appointment, a 50% non-refundable deposit of the total booking fee is required. This deposit reserves your chosen date and time exclusively and allows me to commit my time and availability to your booking.
Your booking is not confirmed until the required deposit has been received. Until payment has been made, your requested date will remain available for other clients.
My prices are fixed unless an advertised special offer or promotion is in place. My pricing reflects the time, experience, artistry and premium products invested into every booking and is therefore not open to negotiation. If my services fall outside your budget, I kindly ask that you consider an artist whose pricing better suits your requirements.
All deposits are strictly non-refundable if the client chooses to cancel their booking, fails to comply with these Terms & Conditions, or is unable to attend for any reason, including personal circumstances. Deposits are taken to protect the time reserved exclusively for your appointment and compensate for the loss of availability should your booking be cancelled.
A full refund will only be issued if I am required to cancel your booking.
The remaining balance must be paid in full before the appointment begins, either:
- Upon my arrival at the client’s location for mobile bookings; or
- Upon the client’s arrival at my home studio for studio appointments.
If the remaining balance is refused, delayed or not paid before the appointment begins, I reserve the right to decline to proceed with the booking and leave the appointment. In such circumstances, any deposit paid will remain non-refundable.
3. Appointment Information
To ensure every appointment runs smoothly and on schedule, clients are kindly asked to read and adhere to the following appointment guidelines.
Please arrive no earlier than five minutes before your scheduled appointment time. This allows sufficient time to prepare the studio and ensure each client receives my full attention without disrupting other appointments.
Punctuality is greatly appreciated. A late fee of £5 will be applied for every 10 minutes after your scheduled appointment time. If you arrive more than 30 minutes late, your appointment may be cancelled, and your deposit will be forfeited. This policy is in place to protect both my time and the appointments of other clients.
Should you wish to book another appointment following a missed appointment, any outstanding late fees will be added to the deposit required to secure your new booking.
These appointment policies apply to both home studio and mobile bookings.
For bridal henna appointments, sessions should ideally commence between 10:00am and 12:00pm. Due to the time required for intricate bridal designs, later start times may not be suitable and cannot always be accommodated.
For mobile appointments, the booking time begins upon my arrival at the client’s address. Clients are responsible for ensuring the appointment can begin promptly upon arrival.
Where a mobile appointment is booked, clients must provide a suitable table and chair setup, preferably a dining table and dining chair, or an equivalent comfortable working area, together with adequate lighting to allow henna to be applied safely and to the highest possible standard.
If an appointment is delayed due to the client or members of their party, I reserve the right to simplify designs, reduce the number of designs completed, or conclude the appointment at the agreed finishing time in order to avoid affecting subsequent bookings.
No refunds, discounts or reductions in price will be given where the full service cannot be completed as a result of delays caused by the clients or members of their party.
My priority is to provide every client with the highest standard of workmanship and service. Adhering to these appointment guidelines helps ensure that every booking runs efficiently, professionally and without unnecessary disruption.
4. Working Hours & Out-of-Hours Appointments
To ensure every booking receives the time, care and attention it deserves, my standard travelling and working hours are between 9:00am and 10:00pm.
Any booking that requires me to begin work or travel before 10:00am, or continue working or travelling after 10:00pm, will be subject to an additional out-of-hours charge. The applicable charge will be confirmed and agreed with the client before the booking is finalised.
Out-of-hours appointments are offered solely at my discretion and are subject to availability. Acceptance of an out-of-hours booking is not guaranteed and will be assessed on an individual basis.
As a Luxury Bridal Henna Artist, every appointment is carefully planned to ensure each client receives the highest standard of artistry, professionalism and service. My working hours have been established to maintain the quality of my work, protect previously confirmed bookings, and ensure a healthy work-life balance.
I kindly ask that my working hours, personal boundaries and business policies are respected at all times. Mehendi Ki Mehak is a professional business, and every appointment is treated with the same level of care, commitment and professionalism. In return, I ask that my time and services are valued and respected in the same manner.
5. Rescheduling & Postponement
I understand that unforeseen circumstances can arise, and I will always do my best to accommodate genuine requests to reschedule wherever possible.
Clients wishing to reschedule or postpone their appointment must provide a minimum of four (4) weeks’ notice prior to their scheduled booking date. This notice period allows me to offer the appointment to another client and helps minimise disruption to my diary.
Requests to reschedule or postpone an appointment made less than four (4) weeks before the scheduled booking date will incur a £100 short-notice amendment fee. This fee must be paid in full before a new appointment date can be confirmed.
Whilst I will make every reasonable effort to accommodate your preferred alternative date, a new appointment cannot be guaranteed and is subject to availability.
If, due to scheduling commitments or limited availability, I am unable to accommodate your preferred replacement date, please note that your original deposit will remain non-refundable, as the request to change the booking has been initiated by the client.
Repeated requests to reschedule may not be accommodated and will be considered at my discretion.
By confirming your booking, you acknowledge and accept this Rescheduling & Postponement Policy.
6. Home Studio, Guests, Children & Pets
My studio is located within my family home. To maintain a comfortable, professional and respectful environment for every client, I kindly ask that the following policies are observed at all times.
A maximum of two people will be permitted in the studio at any one time. Clients travelling to my home studio may bring one accompanying guest only.
For the duration of your appointment, both clients and accompanying guests must remain within the designated studio area unless there is an emergency. As this is a private family home and not a commercial salon, I respectfully ask that clients and guests do not repeatedly enter and leave the house during their appointment.
All clients are expected to respect my home, my surroundings and my family’s privacy at all times. Please treat my home with the same level of care and consideration that you would your own.
Before leaving, all personal belongings, food packaging, bottles and any other rubbish must be taken with you. Toilet facilities must be used respectfully and left in the same clean condition in which they were found.
Clients are responsible for ensuring that anyone accompanying them also complies with these policies throughout the appointment.
6.1 Children
As my studio is based within my family home and contains specialist equipment, children are not permitted to attend appointments under any circumstances. This policy is in place to ensure the safety of all children, maintain a calm working environment, and allow every appointment to be carried out without interruption.
6.2 Pets
Please be aware that my studio is located within a family home where pets are present. Whilst every effort is made to ensure appointments remain comfortable for all clients, those with allergies, phobias or any concerns relating to animals must inform me before confirming their booking so that suitable arrangements can be discussed where possible.
These policies have been introduced to ensure every client enjoys a relaxed, professional and uninterrupted experience whilst respecting my home, my family and the comfort of everyone present.
7. Party Henna Bookings
To ensure every booking receives the time, care and attention it deserves, the following policy applies to all party henna appointments.
7.1 Booking Requirements
Mobile party henna bookings are available only when the following minimum requirements are met:
- Minimum of three (3) clients booking medium-heavy to heavy henna designs.
- Maximum of five (5) clients per booking or per day.
- Travel charges apply and are calculated based on the booking postcode.
To ensure I can provide the highest standard of service while allowing sufficient travel time, the following bookings cannot be accommodated as mobile appointments and must instead take place at my home studio:
- Groups of three or fewer clients requesting simple or lighter henna designs.
- One or two clients requesting heavy party henna designs.
These bookings do not meet the minimum requirements for mobile travel and will therefore be accommodated at my home studio only.
7.2 Payment
Full payment is required at the time of booking to secure your appointment.
As this booking reserves my time and availability exclusively for your party, all payments are strictly non-refundable should the client choose to cancel for any reason.
Should I be unable to fulfil your booking due to unforeseen circumstances, I will:
- Provide a full refund of all monies paid.
- Make every reasonable effort to arrange a suitable replacement henna artist, should you wish.
7.3 Henna Designs
To ensure your appointment runs smoothly and each guest receives the quality of work expected, all henna designs must be selected and confirmed before the appointment date.
Once designs have been agreed, they cannot be changed on the day of the booking.
7.4 Changes to Guest Numbers
If any member of the group decides not to receive henna after the booking has been confirmed, no refund or reduction in price will be given.
Your booking reserves my time and availability for the agreed number of clients. Payment is therefore made for the reserved appointment time rather than attendance alone.
7.5 Commitment to Quality
Every party booking is carefully planned to ensure each client receives the same level of artistry, professionalism and attention to detail that Mehendi Ki Mehak is known for. These policies allow appointments to run efficiently, fairly and without compromising the quality of service provided to you or other clients.
8. Health, Skin & Design
To ensure the safety of both my clients and the quality of the service provided, clients are required to inform me of any relevant medical or skin-related conditions before their appointment begins.
This includes, but is not limited to:
- Skin conditions affecting the area where henna will be applied.
- Allergies or known sensitivities.
- Cuts, burns, abrasions or broken skin.
- Any medical condition that may affect the application or development of the henna stain.
Failure to disclose relevant information before your appointment may affect the service that I am able to provide and may result in the appointment being declined if I believe it is not safe to proceed.
For quality, hygiene and consistency, I use only my own, natural henna cones for all appointments. The use of henna or products supplied by clients will not be permitted under any circumstances.
As part of my personal and professional values, I do not create henna designs containing religious references. I also reserve the right to refuse any design that I consider to be offensive, inappropriate or inconsistent with my artistic and ethical standards.
Henna will only be applied to the hands, mid-arms and feet. Requests for application on any other part of the body will be respectfully declined.
These policies are in place to ensure every appointment is carried out safely, professionally and in accordance with the standards of Mehendi Ki Mehak.
9. Aftercare & Stain
At Mehendi Ki Mehak, only high-quality, natural henna is used, and every batch is personally tested before use to ensure the highest possible quality and consistency. To help you achieve the richest, longest-lasting stain possible, detailed aftercare instructions will be provided at the end of your appointment.
It is the client’s responsibility to carefully read and follow all aftercare instructions provided. Failure to follow the recommended aftercare may affect the final stain colour, stain longevity and overall appearance of the henna.
Whilst every effort is made to achieve the best possible results, it is important to understand that henna stain development varies naturally from person to person. The final stain is influenced by a number of factors, including, but not limited to:
- Individual skin type.
- Body temperature.
- Natural skin oils.
- The area of the body where the henna is applied.
- The care taken during the aftercare process.
For this reason, a specific stain colour or level of darkness cannot be guaranteed.
Once your appointment has been completed, Mehendi Ki Mehak cannot be held responsible for:
- Smudging, accidental damage or premature removal of the henna.
- Failure to follow the aftercare instructions provided.
- The final stain colour, stain development or longevity, as these vary naturally from person to person.
Although premium natural henna and professional techniques are used for every appointment, the final result is ultimately a combination of both the quality of the henna and your skin’s individual response to it.
By confirming your booking, you acknowledge that you understand and accept that henna stain results are influenced by natural biological factors and that a specific stain outcome cannot be guaranteed.
10. Photography and Recording
I understand that many clients wish to capture and share their henna experience, and you are more than welcome to take photographs of your completed henna once your appointment has been finished.
However, to allow me to work with complete focus and maintain the highest standard of artistry, filming or recording me whilst I am carrying out your henna appointment is not permitted without my prior consent.
This policy is in place to ensure a comfortable and professional working environment, protect my creative process, and allow me to give every client my full attention throughout their appointment.
Unless requested otherwise in advance, I may photograph your completed henna design for my professional portfolio, website and social media platforms. Your privacy will always be respected, and no personal information will be shared without your permission. If you would prefer your henna not to be photographed, please let me know before your appointment begins.
11. Professional Conduct & Right to Refuse Service
At Mehendi Ki Mehak, I am committed to providing every client with a professional, welcoming and respectful experience from the moment their booking is confirmed through to the completion of their appointment. In return, I kindly ask that the same level of courtesy and respect is shown towards myself, my home, my business and anyone present during your appointment.
Mutual respect is a fundamental part of every booking and is non-negotiable.
Professionalism, kindness and consideration are expected from both myself and every client at all times.
The following behaviour will not be tolerated under any circumstances:
- Rude, abusive, aggressive, intimidating or threatening behaviour.
- Offensive, discriminatory or inappropriate language.
- Harassment towards myself, members of my household or other clients.
- Repeated refusal to follow my Terms & Conditions, studio policies or reasonable instructions.
- Behaviour that causes disruption or makes me feel unsafe, uncomfortable or unable to carry out the appointment professionally.
I reserve the right to refuse a booking before an appointment, or to immediately refuse or terminate a service during an appointment, if:
- My Terms & Conditions or policies have not been followed.
- Payment requirements have not been met.
- I believe the booking is unsuitable.
- I feel uncomfortable, unsafe or unable to provide the high standard of service that I am committed to delivering.
- A client, or anyone accompanying them, behaves in a manner that is considered disrespectful, inappropriate or unacceptable.
Should an appointment be refused or terminated due to any of the reasons outlined above:
- The appointment will end immediately.
- Any payments made, including deposits, will remain non-refundable.
- Any outstanding balance due will remain payable where applicable.
- Future bookings may be refused at my sole discretion.
These policies are in place to protect both my clients and my business, and to ensure that every appointment takes place in a safe, respectful and professional environment.
12. Policy Acceptance & Client Agreement
These policies have been carefully created to ensure every appointment runs smoothly while protecting both my clients and my business. They form part of every booking and contain important information regarding booking procedures, payments, appointments, studio etiquette, health and safety, aftercare, and service expectations.
By paying your booking fee or deposit, you confirm that you have read, understood and agreed to comply with all Terms & Conditions contained within this Client Experience Guide.
If, on the day of your appointment, it becomes apparent that these policies have not been read or followed, and this prevents me from carrying out the appointment safely or as intended, I reserve the right to refuse or terminate the service. In such circumstances, the appointment will be treated as a client cancellation, and any payments made, including deposits, will remain non-refundable in accordance with my cancellation policy.
If you are unsure about any part of these Terms & Conditions, I encourage you to ask for clarification before confirming your booking.
